Roles are used to determine what permissions a user has in Teacher Vitae. Some of the roles are district wide roles while other roles are scoped to one or more departments or schools.
The following roles are defined for Teacher Vitae. An employee can be assigned multiple roles and/or scopes to multiple organizational units by simply adding more roles, and/or more scopes of that same role to a single user. The PublicKey is a necessity for assigning roles via the staff import process (via CSV file). In the descriptions below, the "most likely" candidates at the district to fulfill these roles are listed in parentheses.

Vitae Setup | District Wide | VITAE_SETUP | User can perform all Vitae setup, manage employees and users, reset passwords, and manage evaluation forms, district wide. (Most likely a district-level tech systems administrator.) |
Employee Management | District Wide | EMPLOYEE_MANAGEMENT | Users with this role can add, edit and delete employee records for employees district wide. They may also import users via the CSV file import process. (Most likely the district Personnel / HR director and/or district-level tech systems administrator.) |
Manage Forms | District Wide | EVALUATION_SETUP | Users with this role can add, edit and delete district evaluation forms and form templates. (Most likely the district Superintendent or designates on the district staff.) |
Evaluation Administration | Organizational Unit or District Wide | EVALUATION_ADMINISTRATION | Users with this role can add, edit and delete evaluation assignments for employees within their organizational unit(s). (District wide, this could be the Supt. or district HR/Compliance. At the Organizational Unit, this is most likely the administrative scheduler for the building.) |
Evaluation Supervisor | Organizational Unit or District Wide | EVALUATION_SUPERVISOR | Users can add, edit and delete evaluation assignments within their scope, plus view and edit evaluations for employees within their scope. (Most likely all building principals and/or assistant principals.) |
Evaluation Director | Organizational Unit or District Wide | EVALUATION_DIRECTOR | Users with this role have the capabilities of an Evaluation Supervisor, plus the ability to delete an assigned evaluation after that evaluation has been started. (Most likely the district Personnel / HR director.) |
Evaluator | Organizational Unit or District Wide | EVALUATION_EVALUATOR | Users in this Role can create adhoc evaluations for anyone in user's scope. |
State Reporting Manager | District Wide | STATE_REPORTING_MANAGER | User can create required state level reports. This is a sensitive position since the user will be able to see all staff evaluation results. |

Click on “Admin”
Hover over “Admin +”
Click on Roles
You should see a page similar to the following.
Click on the “Users” button corresponding to the Role that you wish to grant to one or more users and you should see a screen similar to the following.
If you wish to add another user to this role click on the "+ Add User To Role" link.
Select the employee and the scope for this user and role. In the screenshot below we have chosen to grant Phil Jones the role at the Silverback Middle School.
Click "Save Changes" and you have granted that role to Phil Jones.
Note: If you wish to grant a role to a user in all organizational units (departments) choose the District Wide radio button.
