Creating a New Program

The following instructions walk you through the creation of a new custom program. This can only be done by someone with administrative permissions.


Add New Program

  1. Login to Mileposts (as an admin)

  2. Click Admin

  1. Click Programs and Plans Setup

  1. Click Programs

  1. Click Add New Program

  1. Complete the fields in the following Tabs 

    1. General

      1. Name

Name the program

    1. Public Key

Naming the program will automatically fill this field (no action needed)

      1. Active

If checked the Program is active and ready for use

      1. Managed Locally


      1. Enable Referrals

If checked students can be referred to the Program

      1. Enable Plans

If checked Plans can be associated with the Program

      1. Participation Tracking

Select Disabled, Detailed Tracking or Summary Tracking. Selecting Tracking will open additional options for the Program (User Defined Fields, Review and Status Configuration, Referral Codes and Referral Outcome Codes).

      1. Exit Participation Code

N/A

      1. Participation is Confidential

Sets the students Participation in the Program to Confidential/Private

      1. Referrals are Confidential

Sets the students Referral into the Program to Confidential/Private

    1. Mission

Add a detailed mission for the Program (optional)

    1. Vision

Add a detailed vision for the Program (optional)

    1. Policies

Add a detailed policies for the Program (optional)

    1. Procedures

Add a detailed procedures for the Program (optional)

    1. Audit

Used for tracking creation and edits to the program

  1. Click Save

From any Tab

Add Schools to a Program

  1. Find the Program you just created from the list of Programs

  2. Click School Programs

  1. Click Add New School Program

  1. Choose the school you wish to add to the program from the dropdown

  1. Click Active

  2. Click Save

User Defined Fields

  1. Find the Program to add User Defined Fields to.

  2. Click User Defined Fields

  1. Click Add New User Defined Field

  1. Complete the following fields

    1. Program

Predetermined by Program Name

    1. Name

Name the Field

    1. Display Name

Indicate how it will be displayed

    1. Public Key

This will be filled automatically when naming the Field (no action necessary)

    1. Data Type

Choose from Text, Checkbox or List

    1. Manage

Choose Locally Or Remotely

    1. Show on Listing Page

Checking the box will show it on the Listing Page

    1. Click Save


Entry/Withdrawal Area Add Program Codes

At least one Program code must be entered and designated default for the Participation Codes to work properly for Entry, Exit and Participation Codes. A red error status will be displayed until the program codes are created and marked as the default.

  1. Click Entry Withdrawal Area

Entry Code

  1. Click Add New Program Entry Code

  1. Complete the fields on the Program Entry Code

    1. Program

Predetermined by Program Name

    1. Name

Of the Entry Code

    1. Active

Mark Active

    1. Is Default

If default code Mark Active

    1. Code

Enter the Code

    1. Description

Add Description of Code

    1. Click Save

Exit Code

  1. Click Add New Program Exit Code

  1. Complete the fields on the Program Exit Code

    1. Program

Predetermined by Program Name

    1. Name

Of the Exit Code

    1. Active

Mark Active

    1. Is Default

If default code Mark Active

    1. Code

Enter the Code

    1. Description

Add Description of Code

    1. Click Save

Participation Codes

  1. Click Add New Participation Code

  1. Complete the fields on the Program Participation Code

    1. Program

Predetermined by Program Name

    1. Name

Of the Participation Code

    1. Active

Mark Active

    1. Use as Default Entry Code (Participation Code can only be a default Entry or Exit code not both)

If default code check this box

    1. Use as Default Exit Code (Participation Code can only be a default Entry or Exit code not both)

If default code check this box

    1. Code

Enter the Code

    1. Description

Add Description of Code

    1. Click Save

Review and Status Configuration

  1. Find the Program that needs Review and Status added

  2. Click Review and Status Configuration

Reviews

  1. Click Add New Program Review Type

  1. Complete the following fields

    1. Program

Predetermined by Program Name

    1. Name

Name the Review

    1. Active

Check the box to make it Active and usable

    1. Description

Add a detailed Description of the Review

    1. Click Save


Status

  1. Click the Status Tab

  2. Click Add New Programs Status Tracker

  1. Complete the following fields

    1. Program

Predetermined by Program Name

    1. Name

Name the Review

    1. Active

Check the box to make it Active and usable

    1. Description

Add a detailed Description of the Review

    1. Click Save

Referral Codes

  1. Find the Program that needs Referral Code added

  2. Click Referral Codes

  1. Click Add New Program Referral Code

  2. Complete the following fields

    1. Program

Predetermined by Program Name

    1. Name

Name the Referral Code

    1. Active

Mark it Active to make it usable 

    1. Code

Set the Code

    1. Description

Add a detailed Description of the Referral Code

    1. Click Save

Referral Outcome Codes

  1. Find the Program that needs Referral Outcome Code added

  2. Click Referral Outcome Codes

  1. Click Add New Program Referral Outcome Code

  1. Complete the following fields

    1. Program

Predetermined by Program Name

    1. Name

Name the Referral Outcome Code

    1. Active

Mark it Active to make it usable 

    1. Outcome Code

Set the Code

    1. Description

Add a detailed Description of the Referral Code

    1. Click Save
